Multi-Location Purchasing & Receiving

STEP 1: To get the columns on your PO Screen like the ones shown below, right-click over a blank spot on the PO and choose Configure Columns. Then add or remove the columns as needed.



Step 2: What model works for you?

There are multiple models for how you would write Purchase Orders (POs) and Receive inventory in Artisan POS multi-store. You may use a combination of these models to accomplish your goals.

Model 1 – Write and receive POs from and for a central location, then Distribute Receiving and/or Transfer as needed.

This works just like it does for the single store case. Write a PO just for your location and have it all shipped there. Once it is there you can keep it there until it sells or you could transfer it to other locations.


Model 2 – Write a PO for another location and have it shipped directly to them.

This mostly works like a normal PO, but you indicate a different Ship To and Target Location.


Model 3 – Write a PO for multiple locations and have it shipped to one location for distribution.

Specify the quantity to order for each location.


Step 3: Receive

Multi-Location receiving works just like normal receiving with a few exceptions. You can receive inventory into your location with or without a PO. You can’t directly receive into another location, but you can use the distributed receiving feature instead.

Distributed Receiving: You can only receive into your location, but you can specify an automatic transfer as you are doing so. You can also specify this transfer on the Purchase Order as shown in Model 3 above. The transfer can happen immediately or can be deferred into a Pending Transfer queue. The Pending Transfers are designed so that the target site doesn’t have an inflated quantity on hand with merchandise that they haven’t actually received yet.

To see or edit the Distributed Receiving, highlight the item on the PO, and then select the Detail button on the Receiving Screen.


Adjust the Receive Quantity (Rcvd Qty) to reflect what you have actually received.

Depending on your settings in the Inventory Handling Options, your items will be received and then automatically transferred to either the Pending Transfers or directly to each location as indicated in the Receive Quantity.


The Inventory Transfer Screen shows you both Pending Transfers and items that you could potentially transfer. You can choose which items you want to transfer. Sometimes it is easier to filter just the Pending items, it depends on how you handle your transfers. To just see the ones that are Pending, then either use a search option that only shows the pending ones or use the Power Search to set this option manually.


Use the Pending Only search options to just show your pending transfers.

Alternately use the Pending Transfers filter to just show the Pending ones.

Now Just the pending ones.

Use the Enter button, the Keyboard + (plus) and Keyboard – (minus) to adjust the Transfer (Xfer) Quantity. When ready, use the F10 Process button to complete the transfer. You can also use the Scan Mode for better accuracy.
