Physical Inventory With ScannerPal

Collect Counts

1. On the app, select the “Collect Counts” screen. 

2. Select the “Scan” tab. 

3. Scan an item by pressing the yellow button on the side of the device. ScannerPal will match the barcode to the Item Record in Artisan and will display the product’s Item Code, price, description, shelf number, and other details.

4. Count how many you have of this item and update the quantity if necessary by tapping on the “Item Count” field and editing the number. For example, you see you have another item on this shelf so you update the quantity to 2.

5. When you’re finished, press the blue “Next” arrow. ScannerPal will then accept that scan. Tap on the “Job” tab to see your scans.

Use the arrows if necessary to page back and forth to review your scans and the quantities counted.

Make sure your “Job Type” (located at the top of the screen) is set to “Physical Inventory.” We recommend typing a Job Description, such as “Shelf A1” as this will help you identify your scans in Artisan.

When you’re ready to submit your scans to Artisan, select “Submit Job.”

6. You may then review your scans in Artisan and process them. Go to the “Physical Inventory” screen (from the “Inventory” menu) and enter “Scan Mode.” Do this by pressing the “Scan Mode” button and selecting “Load Scans from Device.” Or, you may access the shortcut to this screen by pressing Ctrl and F10 on your keyboard.

Select a scan job by double-clicking or pressing “Enter.”


Keep In Mind

If you’re new to using ScannerPal, we recommend scanning a few items as a “test” so you can get used to the process. If you do this, we recommend using the following method.

1. Follow steps 1-5 above, except instead of setting your “Job Type” as “Physical Inventory,” set it as a  “Sale/Order.” This way, the test data you’re collecting can easily be cleared from Artisan, simply by voiding the sale in Artisan, instead of having to correct something a little more complicated, like your physical inventory. 

2. Make sure you submit any test jobs before starting your actual scan jobs, especially for your physical inventory. This way, you don’t get your test data mixed up with your real data.
