Using Custom Fields

Artisan supports the ability to create Custom Fields for Item Records and Customer Records – and starting with 4.8, Vendor Records. This is extremely helpful if you need to classify products or services by fields that are unique to your store. Read this article to learn how to use Custom Fields, as well as view examples and other uses for Custom Fields.


You may fill in the content for Custom Fields via the “Custom Fields” tab in an Item Record.

      

Or, if you have it enabled in “Program Options,” on the “Basic Info” tab.

Show Custom Fields on Basic Info Tab

Head to “Program Options.” Click on “Miscellaneous Program Options,” then expand the “Item Record Screen Options” section.

You can show up to four Custom Fields in an Item Record’s “Basic Info” tab. Select which fields, if any, you want to display. Press “Save.”

 


Editing Custom Field Names (for Item Records)

To edit the name for a Custom Field for Item Records, you must go to the “Custom Fields” tab in the item’s Category Record. 

For example, let’s say we offer a few different types of furniture and want to include the series name in the Item Record.

We’ll head to the Item Record’s category and edit the name of one of the Custom Fields to “Series,” then press “Save.” 

We’ll select an Item within the “Furniture” category. Notice how this Item now has the “Series” field where we can input our information.

“Child” categories can inherit the Custom Field names from their “Parent” category–if that field is left blank. Otherwise, you can edit the Custom Field to change it if necessary.

For example, “Outdoor Furniture” is a “child” category of “Furniture.” Because we left the Custom Field 1 Name blank, “Outdoor Furniture” will have the same “Custom Field 1” as the “Furniture” category. 

Custom Field (blank, will inherit from parent category):

Item record within “Outdoor Furniture” category, inherited the Custom Field 1 name:

In this example, we want the Custom Field 1 of “Outdoor Furniture” to be something different. We’ll edit the Custom Field 1 Name to change it.

This item, though it’s in a subcategory of “Furniture,” has a different Custom Field 1 name since we changed it in its category record.

Editing Custom Field Names (for Customer Records)

You may also create custom fields for Customer Records. This is useful if you have unique identifiers for customers and need a place to store those in customer records.

Under “Configuration Settings,” head to “Miscellaneous Program Options.”

Select “Customer Record Screen Options.” Look for “Custom Field Names for Customer Records.” 

Input any custom fields you wish. Artisan supports up to 9 custom fields for customer records.

To view these fields, edit a Customer Record and select the “Custom Fields” tab.

Your field names will show there, with the option to fill in their information.

Editing Custom Field Names (for Vendor Records)

Like editing custom fields for Customer Records, head to “Miscellaneous Program Options,” then expand “Vendor Record Screen Options.” Input the names for the custom fields.

The fields will appear as shown. 

Other Uses for Custom Fields

Besides storing additional information about items in Item Records, there are other uses for Custom Fields.

You can easily sort and filter using the information in these fields using the Power Search option. Here is a brief example, searching the Item Records list for items that have a Custom Field that contains the word “sleek.”

  

You can also print custom fields on labels.
